** Fees are not calculated at the time of registration. Fees are calculated at the time the payment is received. If payment is not received by the early deadline, full tuition will be charged. If payment is not received by the full tuition deadline, late tuition will be charge. Observer pricing is also based on the time payment is received, not the time of registration. No exceptions can be made.

General Information

  • In order for a dancer to participate at any IAX event, a participant waiver and release must be signed electronically no later than the Wednesday prior to the event. The waivers will be emailed to the account holder prior to the event. The account holder will forward the email to all participants for an e-signature.
  • Studio Owners and Independent dancers should proceed to the registration table to pick up all wristbands and designated scholarship numbers. If you are registered with a studio, you do not need to check in. Your studio owner or designated studio representative will pick up the packet. All dancers are required to wear their assigned number and wristband to gain access to their classes. Observer wristbands are not transferable and must be worn at all times to have access to the classrooms. NO EXCEPTIONS WILL BE MADE.
  • All registrations must be paid in full prior to arrival. NO EXCEPTIONS WILL BE MADE.
  • Registration and full payment must be received at least 30 days prior to the event to avoid full tuition or late tuition fees. No exceptions can be made. Payments received 16 to 29 days prior to the event are at full tuition price. All late payments received 10 to 15 days prior to the event will be at the late tuition rate. A balance will be added to payments received past deadline. Balances must be paid prior to the event. Please check your city for the exact deadline date.
  • Payment must be made/received by the specified deadline date to secure the pricing for the early, full, or late registration deadlines. Check your city for the registration deadlines. Pricing is determined by the date the payment is received not the date registered.
  • Personal and studio checks are not accepted.
  • Preferred payment method is a cashier’s check. Money orders are also accepted. NEW! Credit card payments will have a 5% service fee added.
  • Studio owners should login to their account to confirm all pricing and fee information. Any special offers or incentives that may be offered during the year are only valid with cashier’s check or money order payment.
  • Ages are determined as of January 1 of the current calendar year.
  • Studio Owners/Directors may use their discretion to place dancers in the classroom that is most appropriate. Changes made at the event must be done within the first two classes. Changes can only be made by the account holder. Please notify Immerse staff at the Pop-Up shop of any necessary changes and for wristband exchanges. Dancers dancing down an age division are not eligible for scholarships.
  • Faculty and class styles are confirmed per event and are subject to change without notice. Occasionally, advertised faculty may be replaced with equally qualified professionals.
  • Age divisions may be combined for classes in some cities without notice. Tuition for dancers include a minimum of 6 classes. Classes are scheduled for either 45 minutes or 1 hour. In some cities and age divisions, there may be a free bonus class in the schedule for juniors, teens, and seniors.
  • Dancers are asked to keep all personal items under the chairs and against the walls to create as much dance space as possible. Luggage and oversized bags are not allowed in the classrooms.
  • Good sportsmanship is expected at all times.
  • Refunds will not be given.
  • We reserve the right to change dates and/or locations.
  • The Immerse Pop-Up shop only accepts credit card and cash payments for merchandise.
  • Studio Owners may charge their own administrative fees to cover the cost of time and expense they incur while organizing, registering, and attending the event.
  • By registering, you agree to all of the terms and conditions listed on the website and in the waiver. All dancers must have an electronically signed waiver.

Observer Information

  • Parents/Legal Guardians of dancers are only allowed inside the classroom if they have purchased an observer wristband. All observers must accompany a paid registered dancer, and may not be teachers or dancers.
  • IAX reserves the right to limit the amount of observers in each classroom based on space and attendance. If we have reached capacity prior to the intensive, observer bands will not be sold at the door. Pre-registration is encouraged. Please note that the price increases if they are purchased at the door. The observer band price is not based on the time of the dancer’s registration but on the time the payment is received.
  • Persons wishing to purchase observer bands at the door must provide a birth certificate, or other acceptable proof that they are attending with a particular registered dancer. Any person that attempts to purchase a wristband that cannot answer specific questions will be reported.
  • IAX reserves the right to revoke observer privileges for any reason without refund or credit.
  • Respect for the dancers and staff is expected. Please refrain from carrying on conversations or any other activity that may distract or cause disruption to the learning environment.
  • Studio owners/directors will receive a complimentary wristband allowing them access into all classrooms. Limit 2. Persons listed as studio owners/directors will have access to all information pertaining to the studio’s account, payments, and registration. Additional teachers may purchase an observer wristband allowing them access.
  • Observer wristbands cannot be exchanged, are non-transferable, and non-refundable.
  • Observer wristbands must be worn and visible to IAX staff at all times.
  • Observer wristbands are not required for the morning welcome or the scholarship announcements at the end of the day.
  • Videotaping and photography are not allowed at any time during the classes. This can be a distraction to the dancers and instructors. It is also a safety and security issue.
  • The faculty must quickly move from one class to the next. All classes must begin on time. For this reason, photos may not be taken between classes with the faculty out of courtesy for the faculty and the dancers in the next class. The faculty will have a meet and greet in every city where there will be time for pictures.
  • Observers, all well as dancers, are expected to keep personal items under chairs and against the wall making as much room for dance space as possible.

Safety & Security

  • Immerse Artists Experience, the host hotel, and facilities are not responsible for any lost personal items, broken items, injuries, or illness (including any events or situations that may come from injury or illness).
  • If first aid is needed for an attendee of IAX, please see an Immerse staff member at our merchandise pop-up shop.
  • All personal items should be kept under chairs against the perimeter of the ballroom at all times to avoid injury and create as much dance space as possible.
  • All dancers under the age of 16 who are registered with Immerse Artists Experience must be accompanied by an adult of a legal age.
  • All registered dancers are required to sign an Immerse Artists Experience participant waiver and release in order to participate.
  • Persons wishing to purchase observer bands at the door must provide a birth certificate, or other acceptable proof, that they are attending with a particular registered dancer.
  • Videotaping and photography of any kind from any media device is strictly prohibited during class sessions. This will be enforced to ensure the safety of all dancers, and protect the work of the IAX faculty.
  • Visible wristbands are required of all dancers and observers during classes.

Independent Registration

Immerse Artists Experience wholeheartedly believe that dancers should be consistent with their training and attend classes on a regular basis at their local dance studio. We encourage all dancers to be involved in open communication with their studio owner. Although we happily accept all dancers, including independent registration, we encourage dancers to register through their studio if possible. Independent dancers must open an account through the “Independent Login.” It is through this account only that independent dancers will be allowed to register. There is a $10 fee added to all independent registrations.

Redeeming Scholarships

Scholarships earned during the 2019 season may be applied to the 2020 season. In order to redeem the scholarship, dancers must register (and pay any balance due) prior to the early registration deadline. If dancers are participating with a studio, we ask that the studio owner please email us to redeem the scholarship at the time of registration. If the dancer will be attending as an independent, we ask that the parent or guardian please email us to redeem the scholarship at the time of registration. Scholarships are non-transferrable. If the scholarship was earned by a dancer attending with a studio and the dancer wishes to apply the scholarship amount as an independent or with another studio, we must receive written notice from the original studio owner at the time of registration and/or balance payment.
